The protection of your personal data is a special concern to RCPE GmbH. We strictly observe legal provisions and regulations applicable to us when processing your personal data (GDPR, DSG 2018, TKG 2003). We take responsible precautions to prevent unauthorized access to, manipulation and theft of your data. Within this document, we inform you about the most important aspects of data storage and processing within the framework of our website and business activity.

Definition of the term: “personal data”
According to GDPR Article 4 lit. 1 “personal data” means any information relating to an identified or identifiable natural person (‘data subject’); an identifiable natural person is one who can be identified, directly or indirectly, in particular by reference to an identifier such as a name, an identification number, location data, an online identifier or to one or more factors specific to the physical, physiological, genetic, mental, economic, cultural or social identity of that natural person.

Duration of storage
RCPE GmbH will store your personal data only for as long as required by legal or contractual deadlines, or as long as necessary to fulfil the respective purpose, or until a withdrawal of consent is transmitted to us.

In contact with us
When you contact us personally, via telephone or email, any data provided by you are stored and processed to answer enquiries, fulfil any requests or provide any services within a potential business relationship. RCPE GmbH does not forward this information to any third parties without your consent.

Cookies
Our website uses so-called “cookies”. These are small text files that are stored on your end-device with the help of your browser. They do not cause any damage. Generally, there are two types of cookies:

First-party cookies: are created by our website.
Third-party cookies: are used by other websites (e.g., Rapidmail).

RCPE GmbH uses Microsoft Office 365 internally within the organization. Accordingly, if you have contacted us, you may receive an invitation to use a Microsoft Office 365 application through us. Microsoft Office 365 is software used to process documents, share those documents, and organize activities within our organization.

Providing information that may be of interest to you
It is our endeavour to present you with information that may be of interest to you and to communicate with you via email. The legal basis for this is Art. 6 para. 1 lit. f (legitimate interest) GDPR and Art. 6 para. 1 lit. a (consent) GDPR. Our communication with you is based on information that we collected about you and that we may use. We have obtained this information directly through business cards you have provided us with, through existing business relationships or through an enquiry made by you. For example, we might use the combination of your email address and your first and last name to send you information about services, products and events offered by RCPE GmbH. The information we collect allows us to indicate internally that you are interested in certain categories of information.

Events
When you contact us through the contact forms on our dedicated event pages, personal data, you provided willingly, is stored and processed to answer inquiries, provide a successful event experience, and fulfill any contractual obligations. Your data will be transferred to accounting service providers. RCPE GmbH does not disclose any data to other third parties without your consent or legal basis.

We collect the following data:

Company Affiliation

After the event’s conclusion, your data will be deleted according to any possible legal requirements, unless you have consented to its other use.

Event notifications
If you subscribe to the IMRET17 event notifications, the data in the respective input mask will be transmitted to the data processor. The registration for our event notifications takes place in a so-called double opt-in procedure, i.e. after registration, you will receive an email to reconfirm your registration. This procedure is necessary to exclude that someone can register with someone else’s email addresses. At the time of registration, IP address, date, and time are stored. This enables us to prove registration and consent. A transfer of data to third parties does not take place. An exception exists if there is a legal obligation to pass on the data. The data is used exclusively for sending the event notifications. The subscription to the event notifications can be cancelled by the data subject at any time. Likewise, consent to the storage of personal data can be revoked at any time. For this purpose, a corresponding link can be found in each event notification. The legal basis for the processing of the data after registration by the user is the existence of the user’s consent Art. 6 para. 1 lit. a) DSGVO.

Use of rapidmail

Description and purpose
We use rapidmail to send event notifications. The provider is rapidmail GmbH, Wentzingerstraße 21, 79106 Freiburg im Breisgau, Germany. Among other things, rapidmail is used to organize and analyse the dispatch of event notifications. The data you enter for the purpose of receiving the event notifications is stored on rapidmail’s servers in Germany. If you do not want any analysis by rapidmail, you must unsubscribe from the event notifications. For this purpose, we provide a corresponding link in every event notification. For the purpose of analysis, the emails sent with rapidmail contain a so-called tracking pixel, which connects to the servers of rapidmail when the email is opened. In this way, it can be determined whether a notification has been opened. Furthermore, with the help of rapidmail, we can determine whether and which links in the notifications are clicked. All links in the email are so-called tracking links, with which your clicks can be counted.

Legal basis
The legal basis for the data processing is consent according to Art. 6 para. 1 lit. a) GDPR. You can revoke this consent with effect for the future at any time.

Recipients
The recipients of the data are rapidmail GmbH and RCPE GmbH.

Transmission to third countries
There is no transmission of data to third countries.

Duration
The data stored by us within the scope of your consent for the purpose of the event notifications will be stored by us until you unsubscribe from the notifications and will be deleted from our servers as well as from the servers of rapidmail after you unsubscribe from the event notifications. Any data will be deleted 6 months after the completion of the event.

Possibility of revocation
You have the possibility to revoke your consent to data processing with effect for the future at any time. The legality of the data processing operations already carried out remains unaffected by the revocation.

Contractual or legal obligation for the provision of personal data
The provision of personal data is neither legally nor contractually required, nor is it necessary for the conclusion of a contract. You are also not obliged to provide personal data. However, failure to provide it would possibly result in you not being able to use this function or not being able to use it to its full extent.

Your Rights as a Data Subject
You have the right to access (Art. 15. GDPR), rectification (Art. 16 GDPR), deletion (Art. 17 GDPR), restriction of processing (Art. 18 GDPR), and data portability (Art. 20 GDPR). If you think that the processing of your personal data violates the data protection regulations or that your rights have been otherwise infringed, you have the possibility to lodge a formal complaint with a supervisory authority, in particular in the Member State of your habitual residence, place of work or of an alleged infringement, in accordance with Art. 77 GDPR.
